SOUTH BRUNSWICK HIGH SCHOOL ATHLETIC BOOSTER CLUB

BY-LAWS

ARTICLE I – Name

The name of the club shall be the South Brunswick High School Athletic Booster Club, hereafter referred to as the club.

ARTICLE II – Purpose

To develop, promote, and support projects and activities for the betterment of the South Brunswick High School Athletic program, its teams, and student athletes. The club is in no way to have any function in the coaching or administration of any athletic program. This club shall be established as a charitable organization under section 501 “c”3 of the Internal Revenue Code.

ARTICLE III – Membership

1. Membership in the club is open to any person, business, or agency that is interested in the goal of the club, and is willing to work to help achieve those goals.

2. Membership shall be obtained by submitting a written application to become an active member of the South Brunswick High School Athletic Booster club. Annual dues are to be paid at time of application.

3. Membership can be denied, or revoked by the Board of Directors/Officers if the activities of any person, business, or agency are deemed to be contrary to the published goals of the club.

4. Honorary non-voting membership for coaches of all sports at SBHS and administration will be available at no cost.

5. Only those qualified for active membership shall have the right to vote at club meetings. An active member is defined as a dues-paid member.

 

ARTICLE IV – Officers/Board of Directors

The officers of the club shall be the President, Vice-President, Secretary, Treasurer, Athletic Director, and the Principal. The President of the club shall be the Executive Director. All officers shall be elected at the monthly meeting of the new fiscal year in May. The newly elected officers shall serve a term of two years and no more than two consecutive terms unless voted upon. Vacancies will be filled by appointment by the Board of Directors. The Board of Directors shall appoint committees and chairpersons as needed.

ARTICLE V – Meetings

1. The fiscal year of the SBHS Athletic Booster Club shall run from May 1st through April 30th of each year.

2. The Officers/Board of Directors shall be elected at the May meeting each year.

3. Special meetings of the membership may be called by the President or by the majority of the Board of Directors. The call for the special meeting must state the business that is to be transacted, and no business shall be transmitted except that specified in the call.

4. Executive Board meetings will be the 1st Monday of each month and General meetings will be held seasonally to coincide with the “Meet the Coach’s Night”.

 

ARTICLE VI – Quorum

A quorum shall consist of four members of the Board of Directors.

 

ARTICLE VII – Amendments or additions to By-Laws

1. Amendments or additions to the by-laws must be proposed as a motion from the floor, and cannot be enacted at that meeting. Amendments or additions to by-laws will be voted on at the next regular meeting following their introductions, or at a special meeting called in accordance with these by-laws.

2. Amendments or additions to the by-laws require an affirmative vote by 2/3 of the members present.

 

ARTICLE VIII – Business Transactions

1. At no time is the organization to present itself as an agency of Brunswick County School District or South Brunswick High School in regard to purchasing equipment or collecting funds. A separate bank account in the name of the club shall be established for the purpose of paying bills, receiving, and disbursing funds.

2. Purchases made in the name of the club must be made with the approval of the Board of Directors, or in accordance with limits set forth in these by-laws.

3. Any purchase for the club must have funds appropriated by the club membership, or approved by appropriate officer, prior to placement of order.

4. A yearly audit of the booster of club will be conducted by an outside agency by May 30th of each year. A report is to be submitted to the membership by the agency.

5. No materials or supplies are to be purchased with charges made to Brunswick County School District, or the South Brunswick High School.

6. A technology person shall be appointed by the Board of Directors on an annual basis and shall maintain the SBHS Athletic Booster Club web page and any other social media site having been approved by the board. The technology individual shall submit an invoice for the annual web site dues to the treasurer no later than 30days prior to due date. The technology person shall maintain all passwords be accessible by the Athletic Director throughout their appointment term.

ARTICLE IX – Approval of projects

1. All projects must be approved by the Board of Directors. No committee of the organization may proceed with any project or activity until such approval is obtained.

2. Any large projects shall require a minimum of three (3) bids to be presented to the Board of Directors for a vote. The selected bid will then be presented to the general membership.

3. The high school athletic director will attend all athletic booster meetings and act as official liaison between the school district and the booster club. In May each year, the athletic director will present the booster club with the budget request for the following year as requested by the coaches and additional requests can be made prior to each sports season.

 

ARTICLE X – Dues

1. The annual dues shall be $15.00 per individual or $25.00 per family. Dues may be increased by the Board of Directors.

2. Failure to be current with dues will result in the inability of that person, family, or agency to vote on issues before the club.

3. Dues are payable beginning the fiscal year which runs from May 1st through April 30th of each year.

 

ARTICLE XI – Duties of Officers

1. Each elected office is limited to (2) two year term(s) and no more than (2) consecutive (2) two year terms unless voted upon.

2. President – Shall be the chief executive officer of the club, shall act as a liaison officer between the club and South Brunswick High School administration, shall be responsible for calling meetings of the regular membership and Board of Directors, shall preside at all business meetings of the organization. The president shall set the agenda for the board and monthly meetings and act as spokesman for the club.

3. Vice President – Shall act as President and perform all dues of the President during the absence of the President, shall take and transcribe the minutes at meetings in the absence of the secretary.

4. Secretary – Shall be the custodian of the records of the club, shall take and transcribe the minutes of the organization, shall keep the official list of the membership, and shall present all communications, reports, and announcements to the membership.

5. Treasurer – Shall keep accurate record of all funds and financial transactions. Disbursements of funds are to be check bearing of the signatures of the President or Vice President and the Treasurer. All expenditures, except administrative costs of the Board, must be approved by the board, and then presented for approval to the general membership at the next meeting following the disbursement.

6. Immediate Past President, Athletic Director, and the Principal will assume duties as assigned by the Board of Directors.

ARTICLE XIII – Fiscal Year

The fiscal year shall be May 1st through April 30th of each school year.

 

ARTICLE XIV- Dissolution

In the event of dissolution, all funds held by the club shall become due and payable immediately to the athletic department of South Brunswick High School.
